How we collect, use and protect your information on Sundance Professionals.

Last updated: October 23, 2026. Sundance Professionals is in early access; these terms may be updated before full launch.

1. Overview

This policy explains what information Sundance Professionals collects when you use our hiring platform as a candidate or recruiter, how we use it, who can see it, and the choices you have.

2. Notice At Collection (US State Privacy Laws)

This notice is provided under the California Consumer Privacy Act (as amended by the CPRA) and similar state laws, including for job applicants.

  • Identifiers: name, email address, account ID. Purpose: account, login, communication.
  • Professional and employment information: work history, roles, skills, technologies, certifications, resume, salary expectations, availability, work authorization and screening answers. Purpose: profiles, matching, and sending applications to employers you choose.
  • Education information: degrees, fields, institutions. Purpose: display to employers; degree level and field may contribute to scores when the job lists preferred or required education. Institution names and prestige never count.
  • Internet activity: in-app usage events such as views. Purpose: analytics and security.
  • Sensitive personal information: we do not ask for it. Account login credentials are used only to authenticate you. We do not use sensitive information to infer characteristics.
  • Sale and sharing: we do not sell personal information or share it for cross-context behavioral advertising, and have not done so in the past 12 months.
  • Retention: kept while your account is active; on closure, profiles and files are deleted and only anonymized hiring records are kept where employers must retain them by law.

To exercise your rights to know, access, correct, delete or port your data, use Settings or submit a request on our Contact page. We verify your identity before acting and respond within 45 days (extendable once as the law allows). An authorized agent may submit a request with your written permission. We will not discriminate against you for using these rights.

3. Information We Collect

  • Account details: name, email address, password (stored securely, never visible to us), and account type.
  • Candidate profiles: headline, location, roles, skills, programming and spoken languages, technologies, soft skills, experience, education, certifications, salary expectations, availability, links, projects, resume and optional photo.
  • Recruiter and company profiles: job title, company details, logo, banner, optional company contact email and job postings.
  • Activity: applications, saved jobs and candidates, pipeline stages, messages, reports, notifications and basic usage events such as profile or job views.

4. How We Use Information

  • To run the platform: profiles, job search, applications, messaging and notifications.
  • To calculate match scores and career insights.
  • To keep the community safe, review reports and prevent abuse.
  • To improve the product using aggregated usage information.
  • We do not sell your personal information.

5. Matching & Automated Insights

Match scores are calculated automatically from programming languages, technical skills, tools & technologies, and relevant experience. Degree level and field also count when education is preferred or required (not informational); catalog certifications count when the job lists them, and expired certifications do not satisfy requirements. Only active categories count, with weights normalized to 100%. Work arrangement, location, salary and availability are shown separately as logistics and never change the score.

Your photo, school or employer prestige, soft skills, links and projects are never used in the score. They are shown for context only. Relevant experience blends recency-weighted tenure in relevant dated roles (roles ending within 24 months earn full credit, 24–48 months 85%, older 70%; undated reported years 90%), seniority fit for the job's target level (at or above 100, one level below 85, two below 50; documented promotions add 10), and how many of the job's tools were used together in one role. Age, dates of birth and graduation years are never used.

Scores are not automated employment decisions. The platform never rejects or hides applicants because of their score; employers make every hiring decision through human review. A higher score does not predict or guarantee an interview or hire.

6. Resume Auto-Fill & AI Assistance

  • When you upload a resume, its text is processed by an AI service to suggest profile entries. Nothing is saved until you review and confirm it.
  • Spelling checks for new skills or roles may also use AI. Suggestions only; you decide.
  • We do not use AI to score, rank or reject candidates, and we do not sell your data or use it to train third-party models.

7. Who Can See Your Information

  • Personal emails stay private. Candidates and recruiters contact each other through in-app messaging.
  • Recruiters can see a candidate profile only when the candidate is searchable or has applied to that recruiter's job.
  • Hiring team reviewers see anonymized comparisons (for example "Candidate A") without names or photos.
  • Candidates can see active job postings and company profiles, including an optional company contact email. Confidential postings hide the company.
  • Recruiter resume downloads require a stated reason and are logged so candidates can see them.
  • Messages are visible only to the people in the conversation, and to moderators when reviewing a report about it.
  • Reports are private between the reporter and moderators.

8. Storage & Security

Photos, resumes, company images and message attachments are stored in private storage and shared only through short-lived secure links. Data is encrypted in transit, and access rules are enforced on our servers, not just in the app. No system is perfectly secure, so please use a strong, unique password.

9. International Data Transfers

Sundance Professionals is operated from the United States, and all personal information is stored and processed on cloud infrastructure located in the United States. Privacy laws there may differ from those where you live.

If you use the platform from outside the United States, your information is transferred to the United States because it is necessary to provide the service you asked for — creating your account, showing your profile to permitted recruiters and handling your applications (GDPR and UK GDPR Article 49(1)(b)). We apply the same protections described in this policy to all users wherever they live.

10. Sundance Standard Resumes

Candidates may generate a standardized resume from profile information they have confirmed. Published versions are preserved as numbered snapshots so later profile edits do not silently change a document a recruiter received.

Candidates choose whether recruiters receive their original upload or their latest Sundance Standard Resume. Including a profile photo is optional and off by default. Standard resumes exclude personal email, salary expectations, availability and match scores.

11. Your Choices & Rights

  • Edit or remove profile information at any time.
  • Turn off talent-search visibility as a candidate.
  • Choose which notifications you receive in Settings.
  • Permanently delete your account in Settings. This removes your profile, files and related data. Conversations you took part in are removed for both sides. If you have application or hiring history, your personal details and files are removed and the remaining record is anonymized instead of erased.
  • Request a copy of your information, a correction, or deletion by emailing us.

Depending on where you live (for example California under the CCPA/CPRA, or the EU/UK under the GDPR), you may have rights to know, access, correct, delete and port your data, to object to or restrict processing, and not to be discriminated against for using these rights. We respond to verified requests within the time the law requires. We do not sell or "share" personal information for cross-context advertising.

13. Data Retention

  • Active accounts: kept while your account is active.
  • Sundance Standard Resumes: only the most recent published versions are kept; older versions and their files are deleted automatically.
  • Applications & hiring history: kept while either account is active so both sides have an accurate record; when an account with this history is deleted, personal details and files are removed and the record is anonymized (for example, "Former Applicant") so employers can meet employment recordkeeping laws.
  • Deleted accounts: removed from the live platform promptly; limited records may remain in secure backups for a short period or where required by law.

14. Children

Sundance Professionals is intended for professionals aged 18 and over. We do not knowingly collect information from children.

15. Changes To This Policy

We may update this policy as the platform grows. We will update the date above and notify you of significant changes.
